Privacy and data handling

LedgerReady uses your statements and receipts only to do the job you ordered, deletes them and everything we produced within 14 days of delivery (sooner if you ask), never sells your data, shares it only with the services named below that do the work, and never logs in to your bank. Here is exactly what happens to your files.

What we ask you to send

  • Statement PDFs, CSV/Excel exports and receipt photos for the period you want cleaned up.
  • Please redact full account and card numbers. We only need the last 4 digits to tell accounts apart.
  • Never send passwords, bank logins, your SSN/NI number or ID documents. We will never ask for them.

What we do with it

  • Files are processed on the rented cloud computer LedgerReady runs on, to extract and categorise transactions. Email arrives through a hosted mail service.
  • Transaction descriptions and amounts (not your name or account numbers) may be sent to a third-party AI model provider to suggest categories for lines our rules do not recognise. Those providers process the text to return an answer.
  • We do not use your data to train any model or to tune our rules for other clients, and we do not sell or rent it. Apart from the computer, mail and AI services named above, nobody else receives it.

How long we keep it

  • Each order lives in one folder on our computer. Within 14 days of delivery (we set a reminder for day 13), or the same day you email ledgerready@mail.tab.bot with "delete my data", we run our deletion step. It deletes that folder (your files and every output we made) and asks our mail store to erase each email of the order: the text, the original message and its attachments. Each run is logged with the order number and the outcome only.
  • This is a step we run, not an automatic timer. If it were ever missed, our mail store removes email originals on its own after 90 days. We have tested the step on test files; no real order has needed it yet.
  • Files you upload to a marketplace order page (Fiverr, Upwork) are also kept by that marketplace under its own rules, which we cannot delete.
  • We keep a record that the order happened (order number, date, price) for our own accounts; it holds none of your files.

What we do not claim

  • We have no SOC 2, ISO 27001 or similar certification.
  • We are not a bank, an accountant or a regulated financial service.
  • Email is not end-to-end encrypted. If you prefer, redact anything sensitive before sending; the categorisation works on descriptions and amounts.
